Carillion Subcontractor Self-Service Portal
Client Overview
Carillion PLC was the second-largest Facilities Management and Building Contractor in the UK, employing over 40,000 people. The company operated across the UK, Middle East, and Canada, leveraging its extensive reach to manage diverse and complex operations. This scale required streamlined and efficient systems to drive productivity and maintain organisational agility.
The Challenge
Carillion faced significant hurdles due to fragmented legacy systems inherited from acquisitions and mergers. These outdated systems were used to record and track Building and Engineering Sub-Contractors, creating inefficiencies, data duplication, and inconsistencies. Carillion’s objectives were to:
- Integrate multiple disparate systems into a single, unified view.
- Provide Sub-Contractors with external access through a secure Self-Service Portal.
- Enable easy registration, role applications, and streamlined access to HR and Finance services.
Our Approach
Strategic Engagement
Recognised for our expertise in Business Service Portals and process-driven methodologies, Cased Dimensions partnered with Carillion to drive transformation. We collaborated closely with key stakeholders in Security, HR, Finance, LoB Services, and IT, ensuring holistic alignment. Our approach included:
- Conducting targeted workshops to capture and prioritise business requirements.
- Normalising and consolidating existing data using capture, match, cleanse, and de-duplication processes.
- Migrating the cleaned, normalised data into a robust common data model within the target system.
- Performing iterative testing cycles to validate data accuracy and secure stakeholder approval.

The Solution
Cased Dimensions User Portal Integrated with Dynamics 365
- Using the documented business requirements, we swiftly configured and deployed the “Subcontractor Portal” within budget and ahead of schedule. Key features included:
- A single, unified view of Sub-Contractors registered with Carillion.
- A streamlined platform where Sub-Contractors could register, apply for roles, and manage their engagements efficiently.
Single Source of Data Migration
With thousands of Sub-Contractor records scattered across multiple legacy systems, a comprehensive data migration strategy was critical. Cased Dimensions:
- Matched and integrated existing records while eliminating redundancies and ensuring regulatory compliance.
- Enhanced data consistency and completeness, boosting operational efficiency.
- Created a reliable, unified data layer, providing a solid foundation for ongoing business processes.
Key Benefits
- Operational Efficiency
The Self-Service Portal empowered Sub-Contractors to independently manage their own records, significantly reducing administrative workloads and enabling Carillion’s internal teams to focus on higher-value tasks.
- Data Accuracy and Compliance
The creation of a consolidated data layer ensured that Carillion met compliance standards while improving the accuracy, consistency, and completeness of Sub-Contractor information—a critical factor for risk management and decision-making.
